Settings
Settings is where you make NORDVEST feel like yours. Access it from the gear icon in the sidebar — and don't worry, you can't break anything here. Probably.
Users
Manage your team members (Admin only). Each user needs at least an email or a username to log in — one or the other, or both if you're feeling thorough.
Adding Users
- Click Add User
- Enter their name
- Provide email and/or username (at least one required)
- Select their role (Admin, Service Manager, or Technician)
- Generate a password or enter one manually
- Save
Tip: Use the Generate button to create a secure passphrase. Copy it immediately — it won't be shown again, and no, we can't retrieve it for you. We don't store it. That's the point.
QR Codes for Logging In
For technicians using the mobile app, QR codes make logging in painless — especially for the techs who walk in every Monday asking "how do I log in again?" Just pull up their QR code, show them their PIN, and they scan and type. Done.
You can print the QR code and put it on their clipboard if that helps. Just keep the PIN safe — treat it like a password.
Lost QR code or PIN? No problem. Generate new ones anytime from the user's settings.
User Roles
| Role | What They Can Do |
|---|---|
| Admin | Full access — manage users, company settings, and all service operations |
| Service Manager | Run the day-to-day — manage customers, assets, services, and review field work |
| Technician | View customers and assets, submit work from the mobile app for review |
See Permissions for the full breakdown.
Resetting Passwords
Admins can reset any user's password:
- Click the menu on the user row
- Select Reset Password
- Generate or enter a new password
- Share the password with the user (securely, please — not on a Post-it note on the break room fridge)
Company Settings
Configure your company's defaults so everything displays the way you expect.
General
- Company Name — Your company's name, displayed on work orders and throughout the application
- Phone — Your company phone number
- Timezone — Your company's timezone for date and time display
- Date Format — How dates appear throughout NORDVEST
- Time Format — 12-hour or 24-hour clock (we don't judge either way)
- First Day of Week — Sunday, Monday, or Saturday
Oil Sample Contact
If you use NORDVEST's oil sample submission forms, configure who the lab should send results to:
- Oil Sample Contact Name — The person at your company who handles oil analysis results
- Oil Sample Contact Email — Where the lab sends the results
These values are pre-filled on generated PDF submission forms. See Assets → Oil Sample Submission Forms for more.
Company Logo
Upload your company logo to display on work orders and throughout the application. Nothing says "professional" like your own branding instead of a placeholder.
- Go to Settings → Company → Logo
- Upload a PNG, JPG, or SVG file (max 2MB)
- Preview the logo before saving
- Click Save Logo
To remove the logo, click Remove on the current logo preview.
Asset Types
Manage the types of equipment you service. NORDVEST comes with the classics pre-loaded, but you can add, edit, or remove any of them.
Built-in Types
- Blower
- Compressor - Piston
- Compressor - Rotary Screw
- Compressor - Vane
- Compressor - Scroll
- Vacuum Pump
- Air Dryer - Refrigerated
- Air Dryer - Desiccant
- Filter Housing
- Receiver Tank
- Other
These are starting points, not constraints. Delete what you don't need, rename what doesn't fit, and add whatever your shop services.
Custom Types
Create your own asset types for equipment not covered by the defaults:
- Go to Settings → Asset Types
- Click Add Type
- Enter the name
- Choose whether it tracks runtime hours
- Save
Custom types appear alongside built-in types when adding assets — no second-class citizens here.
Hour Tracking
When creating or editing an asset type, you can enable hour tracking. This:
- Adds hour reading fields to assets of this type
- Enables hour-based service intervals for components
- Shows usage metrics on the asset detail page
Enable hour tracking for any equipment with a runtime meter — compressors, dryers with hour counters, blowers, and anything else that counts its hours.
Component Types
Manage the types of parts you track inside assets.
Built-in Types
- Oil Filter (consumable)
- Primary Air Filter (consumable)
- Secondary Air Filter (consumable)
- Oil (consumable)
- Belt
- Drive
- Primary Separator (consumable)
- Secondary Separator (consumable)
- Filter Element (consumable)
- Desiccant (consumable)
Custom Types
Create component types specific to your work:
- Go to Settings → Component Types
- Click Add Type
- Enter the name
- Mark as consumable if it's a regular replacement item
- Set default service intervals (months and/or hours)
- Save
Service Intervals
Each consumable component type can have default service intervals:
- Months — Time-based replacement (e.g., every 12 months)
- Hours — Runtime-based replacement (e.g., every 2,000 hours)
These defaults apply automatically when adding components to assets. You can always override them per-asset if a specific unit needs different intervals.
Custom Fields
Custom fields let you define extra attributes to track on assets (and customers). Each field has:
- Key — Machine name (e.g.,
horsepower) - Label — Display name (e.g., "Horsepower")
- Type — Number, text, select (dropdown), or boolean (yes/no)
- Unit — Display unit (e.g., "HP", "PSI", "gallons")
- Validation — Min/max values, required status
Custom fields also power the filters on list pages — so if you add a "Horsepower" field to compressors, you can filter your asset list by horsepower range.
Linking Fields to Asset Types
After creating custom fields, link them to the asset types where they make sense:
- Go to Settings → Asset Types
- Click an asset type to edit
- Add or remove custom fields
- Set the display order
- Override the required status if needed
Example: The "Horsepower" field is linked to compressor types and blowers, but not to filter housings or receiver tanks. Because a tank with horsepower would be... concerning.
Asset Templates
Asset templates save you from filling in the same details over and over when you're adding equipment you see frequently.
- Go to Settings → Asset Templates
- Click Add Template
- Select the asset type
- Pre-fill metadata values (manufacturer, model, HP, etc.)
- Select component types to include by default
- Save
When adding a new asset, select a template to auto-fill these values. Great for fleets of identical equipment — add ten of the same compressor without retyping everything ten times.
User Settings
Every user can customize their own experience from the user menu dropdown. No admin needed.
Profile
Update your name and contact information.
Password
Change your password. NORDVEST requires:
- Minimum 12 characters
- Not a known compromised password (we check against breach databases)
Tip: Use a passphrase — four or five random words strung together are both secure and easy to remember. "correct horse battery staple" is a classic example, but please don't actually use that one.
Two-Factor Authentication
Add an extra layer of security to your account:
- Go to your profile → Two-Factor Authentication
- Scan the QR code with your authenticator app (Google Authenticator, Authy, 1Password, etc.)
- Enter the verification code to confirm
- Save your recovery codes somewhere safe — seriously, don't skip this step
Once enabled, you'll need your phone plus your password to log in. A small inconvenience for a lot of peace of mind.
Appearance
Choose your preferred display mode:
- Light — Standard light theme for well-lit offices
- Dark — Dark theme for machine rooms, late nights, and people who just prefer it
- System — Automatically matches your device's display setting
Best Practices
- Upload your company logo — It appears on work orders and makes everything look polished
- Configure custom fields early — Define what you want to track before you start adding hundreds of assets
- Create templates for common equipment — If you service the same model across multiple customers, a template pays for itself on the second use
- Set service intervals on component types — This is what powers NORDVEST's proactive maintenance tracking
- Enable 2FA for admins — Protect the accounts with the keys to the kingdom
- Review settings periodically — As your business grows and changes, your NORDVEST setup should too
