Documents
The Documents library is the one place where every file in your tenant shows up — company-wide files, customer attachments, and files attached to We Owes. Service contracts, equipment manuals, site maps, rebuild photos, warranty paperwork — if someone uploaded it in NORDVEST, you can find it here.
Finding a File
Open Documents from the sidebar. You'll see every attachment in your tenant as a card in a grid, sorted newest first.
Use the filter pills at the top to narrow down:
- All — every file in the tenant
- Company-wide — files not tied to any specific record
- Customers — files attached to a specific customer
- We Owes — files attached to a We Owe
The search box matches both the display name and the original filename. Search works across whatever filter you have active.
Display Names
Every file has an original filename (the name of the file on your computer) and an optional display name (the friendly name you give it in NORDVEST). The display name is what shows in lists, so renaming IMG_2847.HEIC to "Compressor nameplate, after rebuild" makes your document library a lot easier to live with.
To rename a file: click it to open the preview, then edit the display name and save.
Uploading a File
From the Documents page
Uploads from the Documents library are company-wide only — they aren't tied to any specific customer or We Owe. Drop files onto the uploader or click to browse. You can upload multiple files at once.
From a customer or We Owe
Files attached to a specific customer or We Owe still get uploaded from that record's page, so they stay linked in context. Those files also appear in the Documents library under the matching filter.
Linking and Tagging
When viewing a file, you can:
- Relink it — move it from company-wide to a customer, or from one customer to another, or to a We Owe
- Tag assets — associate the file with one or more specific assets. Tagged files show up on those assets' pages, so a rebuild photo lives both in Documents and on the asset it belongs to
Supported Files
NORDVEST accepts common file types — PDFs, images (JPG, PNG, HEIC), Microsoft Office documents, and more — up to 20 MB each. The original filename is always preserved on download, even if you've renamed the display name.
Permissions
- View and upload: anyone with access to NORDVEST
- Delete: the person who uploaded the file, or a Service Manager / Admin. Files uploaded by someone no longer in the system (orphaned files) can only be deleted by Service Managers and Admins
Tips
Name files you'll actually want to find later. "2024 Q3 Rebuild Estimate" beats "scan_0042.pdf" every time.
Tag the asset when it matters. A photo of a component failure isn't much use buried in the library — tag it to the asset and it lives where the next technician will look.
