Reports
Reports let you save a question about your data and ask it again whenever you like. "Which customers in Lane County have no active service agreement?" "Which assets have components due in the next 30 days?" Build the query once, run it any time, export it, or have it emailed to your team on a schedule.
Find Reports in the sidebar. Everyone on your team can use it.
Creating a Report
From Reports, click Create Report. You'll choose how to start:
- Ask for a report — describe what you want in plain language ("Portland customers with at least one active service agreement") and NORDVEST drafts the report for you. You review and adjust the draft before anything is saved. Available when your plan includes AI features.
- Build manually — start from a blank builder.
Either way you end up in the same builder, with three sections:
Basics
Name the report, optionally describe it, and pick what it reports on: Customers, Assets, Service Agreements, Service Requests, or We Owes. You also choose who can see it — Personal (only you) or Team (everyone in your company).
Filters
Conditions are organized into groups. Within a group, you choose whether a record must match ALL of the conditions or ANY of them. Separate groups always combine with AND — so "Group 1 AND Group 2, where each group is its own ALL/ANY."
A few things worth knowing:
- Text filters match anywhere in the field by default ("contains"), so "Lane" finds "Lane County."
- Date filters can use rolling ranges like Today, Next 30 days, or Last 90 days — the report stays current every time you run it.
- Every entity that belongs to a customer can filter on that customer's address — city, county, state, ZIP — so "assets in Linn County" is one condition.
- You can filter on related record counts, like "customers with at least 2 assets" or "We Owes with no sub-tasks."
- Assets and Customers can filter on components due for service — currently due, or predicted due within a number of days you choose.
Use Preview count any time to see how many records match before you save. If the count takes too long, simplify your conditions and try again.
Columns
Pick which columns the results show, and optionally how they sort — a primary sort plus up to two tiebreakers.
Running a Report
Open a report and click Run Report (or Regenerate to refresh). Results display in a table — the first column links to each record. Large result sets are capped at 5,000 records; if a report hits the cap, narrow the conditions.
- Download CSV exports the full result set.
- Reports remember their last run, so the results you saw are there when you come back — regenerate whenever you want fresh numbers.
Scheduled Email
Any report you own can be emailed automatically. From the report page, open Schedule, pick the recipients (up to 10 teammates), the days of the week, and the time — delivery follows your company's timezone. There's also a Send now button for a one-off delivery.
Deleting a report stops its scheduled emails too.
Sharing & Permissions
- Personal reports are visible only to you.
- Team reports are visible to everyone; anyone can open, run, or duplicate them, but only the report's owner (or an admin) can edit, delete, or schedule it.
If you want your own copy of a team report to tweak, use Duplicate from the report list.
