FOR SHOPS ON ZOHO BOOKS

Your books are in Zoho

Zoho Books does the money. Zoho FSM does work orders. Neither runs on hour meters. So every week someone still works out:

Which machine is due.
Which parts to order.
Who was promised what.
What the tech did last Tuesday.

NORDVEST is that part of the shop, built for independent compressor service companies. Customers and items come from Zoho Books. The invoice goes back.

// ZOHO BOOKS STAYS

Keep Zoho Books. Stop retyping.

NORDVEST does not replace Zoho Books. It connects to it.

Customers come from Zoho Books, pull your current customers to get started. NORDVEST matches them by name and you review the rest.
Items come from Zoho Books, with the name, SKU, cost and price. For items Zoho Books tracks as stock, the quantity on hand comes too.
Invoices go out, record what was done, then send it to Zoho Books for the invoice. Each line is a Zoho Books item. Zoho Books numbers the invoice.
One sign-in, you sign in to Zoho once. Zoho names the datacenter. NORDVEST connects to one organization per company.

// THE MACHINE, NOT THE TICKET

A compressor is not one record. It is a set of clocks.

A rotary screw has an air filter, an oil filter, a separator, oil and a belt. Each has its own interval in run hours. NORDVEST tracks each as a component with its own clock. The parts forecast comes from those clocks.

Components with service clocks, each part of the machine shows the hours left until it is due.
Hour readings, every reading the tech takes stays on the machine, and the next one is predicted.
Parts forecast, the components and the hours together give the parts list 30, 60 and 90 days out.
Make, model and serial, on the machine, with the manual.

The Zoho FSM asset record has no components, no hour meter and no serial number. NORDVEST starts there. Moving off Zoho FSM? Talk to us first →

// ORDERING PARTS

The emergency parts run ends here.

NORDVEST reads run hours and intervals on every machine and lists the parts you will need 30, 60 and 90 days out, checked against Zoho Books stock. Order once, ahead.

From the machines, the list comes from hours and intervals.
Against your stock, each tracked part shows OK, Low, or Stockout from Zoho Books quantities.
Less over-ordering, Smart mode lists only what is predicted due.
04
// MANAGING SERVICES

What is due, what is scheduled, what got done.

Every compressor shows its next service and the hours left. PM contracts create the next visit when you close the last. The week goes on a board the office can see.

Due, each machine shows what is next and when, from its own hours.
Scheduled, drag a job onto a tech's day.
Done, the tech records the work on the job. Close it, and the next PM visit appears on its own.

05
// MANAGING CUSTOMERS

Who they are. What they own. What was said.

Zoho Books knows the address and the invoices. It does not know the two rotary screws and the dryer, the gate code, or what the plant manager asked in March. NORDVEST holds the customer, every machine, and every call and visit on one page.

Every machine, make, model, serial, hours, components, and the manual, on the customer.
Every visit, what changed, at what hour, by whom.
Every conversation, calls, emails, and site notes logged where the next person can find them.
06
// NOT DROPPING BALLS

A promise made at the site reaches the office.

A tech says, "I'll get you a price on that." The note stays in the truck. Three weeks later the customer calls. In NORDVEST that promise is a We Owe, with an owner, on a list the shop can see.

One list, parts owed, callbacks, quotes, and warranty claims, in one place.
One owner, each promise has a name.
Whole shop, the office sees what the field promised.

07
// THE SERVICE TIMERS

It tells you what the timer will read on service day.

NORDVEST keeps every reading and predicts what the meter will show on service day. The office knows before the truck leaves whether the oil or the filter is due. At Northwest Compressor the techs trusted this first.

Every reading kept, on the machine.
Predicted hours, the forecast drives what is due and what parts to bring.
Rollovers handled, a timer that laps or a new controller does not reset the history.
// THE SWITCH

Not a month of data entry. One day, after the office is ready.

A shop is not afraid of software. It is afraid of the switch. Here is how Northwest Compressor did it, on 1,699 machines.

01
The office goes first.
The desk starts in NORDVEST. The techs keep what they have.
02
Customers and items come from Zoho Books.
Nothing is retyped. Machines and their history are entered.
03
The system settles.
The office runs the week in NORDVEST. The techs work the old way. Training was quick.
04
The changeover takes one day.
When the office is ready, the shop switches. At Northwest Compressor it took one day.
